Privacy Policy

OMX TEAM (“the app”) is an internal team operations tool operated by OMX Digital (“we”, “us”). It helps our team manage daily tasks, attendance, leave, meetings and payroll. This policy explains what information the app collects, why, and how it is handled. It applies to the OMX TEAM Android and iOS apps and the website at daily.myaiplanet.com.

The app is only for people who work with OMX Digital. Accounts are created by an administrator; there is no public sign-up.

1. Information we collect

Account and profile

Name, work email address, password (stored only as a one-way hash), role, manager, phone number (optional, used for WhatsApp reminders) and profile photo (optional).

Location

When you check in or check out, the app asks for your device’s precise location at that moment only. We store the coordinates with the attendance record to confirm whether you worked on-site or from home. The app does not track your location in the background or at any other time. You can deny location permission; check-in may then be recorded without on-site verification or be unavailable, depending on your team’s settings.

Microphone and voice notes

If you choose to record a voice note on a task, the app uses the microphone to record it and uploads the audio so your team can play it. The microphone is only used while you are actively recording.

Work records

Tasks, comments, attachments, meetings, reminders, daily start/close logs, attendance times, leave and overtime requests, focus sessions, holidays, performance scores and badges.

Salary information

Base salary, salary history and monthly salary calculations. These are visible only to you and to authorised administrators.

Usage and technical data

The time you last used the app, and a secure sign-in cookie that keeps you logged in. We do not use advertising identifiers, and the app contains no ads or third-party analytics.

2. How we use it

  • To run the app’s features: tasks, attendance, leave, meetings, reminders and payroll.
  • To verify attendance and classify work as on-site or work-from-home.
  • To send you task, meeting and reminder notifications, including via WhatsApp if enabled.
  • To provide optional AI features such as task summaries, prioritisation and time estimates.
  • To keep the service secure and fix problems.

We do not sell your personal information or use it for advertising.

3. Who we share it with

Inside OMX Digital, your information is visible to your manager and authorised administrators as needed for their role. Outside OMX Digital, we share data only with service providers that help run the app:

  • Hosting and database providers that store the app’s data on our behalf.
  • Meta (WhatsApp Business Platform): your phone number and reminder messages, if WhatsApp reminders are enabled for you.
  • Google Calendar: meeting details, only if you choose to connect your Google account. You can disconnect it at any time.
  • AI providers (such as Google Gemini, OpenAI, xAI or Groq): task text and related work details, only when an AI feature is used. These are not used to identify you.

We may also disclose information if required by law or to protect the rights and safety of our team.

4. Security

All data is sent over encrypted HTTPS connections. Passwords are stored as one-way hashes, and access to data is restricted by role. No system is perfectly secure, but we take reasonable steps to protect your information.

5. How long we keep it

We keep your information while you work with OMX Digital. When your account is deactivated, we keep attendance, leave and salary records for as long as needed for payroll, accounting and legal requirements, and delete or anonymise the rest when it is no longer needed.

6. Your choices and rights

  • View your profile and change your profile photo in the app; ask an administrator to correct other details.
  • Turn off location or microphone access at any time in your device settings.
  • Disconnect Google Calendar at any time.
  • Ask us for a copy of your data, to correct it, or to delete your account and associated data, by contacting your administrator or emailing us at the address below. We will respond within 30 days. See how to delete your account.

Depending on where you live, you may have additional rights under laws such as India’s Digital Personal Data Protection Act, 2023 or the GDPR. Contact us to exercise them.

7. Children

The app is intended for working adults and is not directed at anyone under 18.

8. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows when it last changed. We will let you know in the app about significant changes.
